01

Getting Started

Everything you need to begin your school yearbook project.

What is YearbookLife?

YearbookLife helps schools create printed and digital yearbooks with flexible software options, professional support, and high-quality printing.

I’m ready to get started. What do I do now?

Our team at YearbookLife can help you determine which yearbook design option best fits your needs. Once your Publishing Order is signed and submitted, you will receive a welcome email with your software login information so you can begin creating your yearbook.

We will also contact you to schedule an introduction and training session at your convenience.

Not sure which design option is right for your school? Explore our yearbook software options or contact our team to get started.

How many copies should we order?

Start with your school’s enrollment as a guide. As a general estimate, between 30% and 60% of students and faculty may purchase a yearbook. This is only a guideline, and every school is different.

The best way to determine your order quantity is to hold a presale. This will help you estimate demand and adjust your order if necessary.

You can change the number of books you order without penalty up until you submit your yearbook for printing. Your pricing will be adjusted to reflect changes in the final quantity or page count.

Please keep in mind that our minimum order is 50 books.

How many pages should be included in our yearbook?

Many school yearbooks include at least one page per classroom, along with pages for school activities, events, clubs, and staff.

Start by determining how many portrait pages you will need. Then consider the activities, events, and special sections you want to include.

YearbookLife can provide a Page Ladder to help you outline and organize your yearbook.

Your final page count must be divisible by 4 for standard production, or by 16 if you are ordering a Smyth sewn book.

I’m no longer going to be the yearbook adviser. Can I provide a new contact person?

Yes. Please provide the name, email address, and phone number of the new yearbook adviser or contact person.

Our team will reach out to help the new contact get familiar with the yearbook process, available training, and any important project information.

You can contact YearbookLife to update your school’s information.

What types of schools do you work with?

Elementary schools, middle schools, high schools, charter schools, private schools, religious schools, homeschool groups, camps, and organizations nationwide.

How long has YearbookLife been in business?

YearbookLife has helped schools create yearbooks for almost 30 years, partnering with over 15,000 schools across the nation.

Do you serve schools nationwide?

Yes. We work with schools throughout the entire United States and provide free bulk shipping to one location within the continental US.

02

Pricing & Ordering

Answers about yearbook costs, payments, and order changes.

How are yearbooks priced?

Your price per yearbook is determined by the number of copies ordered and the total number of pages. Other factors include your choice of hardcover or softcover binding and any additional enhancements you select.

For eligible new customers, our Instant Yearbook Quote Generator can help you estimate pricing based on your book specifications and current promotional offers.

You can also contact our team to discuss your options and request pricing information.

How do I change or confirm the number of books in my order?

You can change the number of books up until the time you submit your yearbook for printing.

Contact our office at 888-680-0143 or email production@yearbooklife.com at any time during your design process or before submission. If you have an online storefront with us, we will also adjust your online inventory.

NOTE: Any change to the quantity of books may change your price per book.

How do I change the number of pages in my order?

If the number of pages you want to submit is different from the number of pages on your agreement, please contact us before submitting your file, keeping these important points in mind:

  • Any change to the number of pages could also change your cover binding size. You may need to adjust your cover size before submission.
  • The final number of pages in your yearbook must be divisible by 4 for production purposes. If your final file is not divisible by 4, you may have blank pages bound in your book, and you will be charged for them.
  • Any change to the quantity of pages will alter your price per book. Contact us before submission so we can get you that new price.

NOTE: One month before your submission date, you will receive an email from production@yearbooklife.com with submission instructions and a submission form link. If the book or page count is not accurate on that form, please contact us before submitting.

When and how do I pay for my yearbooks?

Your invoice is issued upon submission, when your final number of books and pages is confirmed. No deposit is required upfront for standard printed yearbooks.

Payment is due within 10 days of your invoice to avoid additional charges. Payment can be made via check or credit card, with complete payment instructions included on your invoice.

If you are a YBLifeLine customer, full payment is due before submitting your yearbook.

I have a question about my invoice. Who can I speak with?

If you have any questions about your invoice or the payment procedure, you can email accounting@yearbooklife.com. Someone from our Accounting Team will get back to you, or you can call our office directly at 888-680-0143.

Can our school make money selling yearbooks?

Yes! Many schools generate substantial revenue through yearbook sales, recognition ads, business sponsorships, and fundraising markups. We provide an online storefront and marketing materials to help you reach your fundraising goals.

Are there setup fees?

No hidden setup fees. Your quote includes all applicable costs upfront, with transparent pricing and no surprises.

Do you require a long-term contract?

No. YearbookLife offers flexible contracts with the option to select 2 or 3 year terms to lock in your pricing.

Still have questions about Pricing & Ordering?

Our team is ready to answer specific questions for your school.

03

Yearbook Design & Software

Help with yearbook design, student portraits, cover artwork, and photo quality.

What software can I use?

YearbookLife has two yearbook design software options that you can choose from — Pictavo and YBLive. You can also use Canva or submit a print-ready file from platforms like InDesign.

I never received any software to install. How do I design my yearbook?

YearbookLife offers 100% online, cloud-based yearbook design options, so there is no software to download or install on your computer.

You can access your assigned design software from school, home, or any computer with an internet connection using the login credentials provided in your welcome email.

Learn more about our yearbook design software options, including Pictavo, YBLive, and Canva.

Can I design my yearbook in Canva?

Yes! YearbookLife provides Canva-compatible specifications, starter templates, and dedicated support to help schools create print-ready yearbooks.

Plus, Canva customers get free access to our proprietary PortraitPop tool, which automatically formats student portraits and names into Canva-ready pages.

How do I design my Cover in Canva?

Your cover needs to be created as a separate file from all of your internal pages. The dimensions of your cover file will depend on your cover type (softbound or hardbound) and the number of pages in your yearbook.

Look for an email from YearbookLife with the Subject Line: Yearbook Cover Specs. This email outlines the dimensions for your specific cover based on the number of pages and binding type on your agreement.

NOTE: If you add or reduce pages, or want to change your binding type, those dimensions may change. Always contact production@yearbooklife.com if you plan to make a change.

How do I design my Pages in Canva?

Be sure your pages are set to the correct dimensions for printing and production; they are larger than a standard sheet of paper to allow for trim and bleed. Keep all significant art, text, and student faces inside the “safety zone” so they are not trimmed during production.

Following these instructions ensures that significant design elements are not trimmed and you don’t have an unwanted white border around your pages.

How do I design my Portrait Pages in Canva?

By utilizing PortraitPop, YearbookLife’s proprietary portrait flow software. You can access PortraitPop through your YearbookLife dashboard, or call us at 888-680-0143 and select Canva Support for assistance.

I’ve never uploaded or flowed student portraits. Is it easy to do?

Flowing portraits is a straightforward process, and your yearbook design software provides step-by-step instructions to help you get started.

Make sure you have the formatted portrait files and associated student data provided by your school photographer (PSPI / index.txt). These files contain student portraits and details such as names, teachers, and grades.

If you are designing in Canva, our PortraitPop tool will automatically create organized portrait pages for your yearbook.

How can I print portrait pages by class for teachers to review?

Once your student portraits have been uploaded and organized by class, you can generate a PDF proof of the pages. You can then email the PDF to teachers or print hard copies for review before submitting your yearbook for production.

What if I have no design experience?

No problem! Many advisors are first-time creators. YearbookLife provides training, support, easy to use guided software and free webinars throughout your design process.

Can we send student artwork to YearbookLife for our yearbook cover?

Yes. If you would like to use student artwork for your yearbook cover and do not have access to a high-resolution scanner, you can send the original artwork to YearbookLife.

Place the artwork and your instructions in a secure mailer to help prevent damage during shipping. Be sure to indicate which artwork belongs on the front and back covers and include your contact information:

Are there guidelines for students designing yearbook cover artwork?

We recommend providing students with a few basic guidelines while allowing room for creativity.

Artwork can be created on a standard 8.5-by-11-inch sheet of white paper. Encourage students to use vibrant colors that will reproduce clearly when printed. Colored pencils and markers can work well, although markers may bleed through thin paper.

If your yearbook has a theme, consider encouraging students to create artwork that reflects that theme or represents something meaningful about their school year.

Some pictures look blurry in the design software. Will they print that way?

The images displayed in your design software may appear at a lower resolution to help pages load more quickly. Your computer’s display settings can also affect how images appear on screen.

For best print quality, use high-resolution images. We generally recommend images at 300 dpi at their intended print size.

Your design software will display a warning when an image has insufficient resolution. Review these warnings carefully and replace low-resolution images whenever possible.

Canva Yearbook Tool

PortraitPop FAQs

Learn how PortraitPop helps schools turn student portraits into organized yearbook pages for Canva.

What is PortraitPop?

PortraitPop is a portrait flow tool developed by YearbookLife for schools designing their yearbooks in Canva.

It reads the portrait files provided by your school photographer, matches each photo to the correct student, and creates finished portrait pages that you can import directly into Canva.

PortraitPop is included at no additional charge for YearbookLife Canva customers.

Do I have to pay extra for PortraitPop?

No. PortraitPop is completely free and included for YearbookLife customers designing their yearbooks in Canva. You can access it through your YearbookLife customer dashboard.

How do I access PortraitPop?

Sign in to your YearbookLife customer dashboard and open PortraitPop from the Canva quick links. PortraitPop is available through your dashboard, so there is no separate website to visit or software to install.

Do I need to install anything to use PortraitPop?

No. PortraitPop runs directly in your web browser, just like your YearbookLife customer dashboard. You can use it from school or home on any modern computer.

What files do I need from my school photographer?

You will need the formatted portrait files provided by your school photographer for yearbook production (often referred to as the PSPA / PSPI CD or download folder).

These files contain the student portraits along with an index file of associated information, including student names, teachers, and grades.

Upload the portrait folder exactly as your photographer provided it, without renaming or rearranging the files inside. PortraitPop will automatically locate the information it needs to build your portrait pages.

Are student photos uploaded to or stored by YearbookLife?

No. PortraitPop processes student portraits and their associated information locally on your computer rather than uploading them to a separate YearbookLife server.

The tool reads the files from your computer, builds your portrait pages, and saves the finished files back to your computer, ensuring complete student data privacy.

Can I customize the layout of my portrait pages?

Yes. PortraitPop allows you to choose how students are grouped, including by grade, teacher, or class.

You can adjust the number of portraits across each page, select framing options, change how student names are displayed, and customize spacing and margins. You can also feature a larger teacher portrait at the top of a class page.

PortraitPop provides a live preview as you make changes and shows how many yearbook pages your selected layout will require.

Can I use my own Canva design behind the portraits?

Yes! PortraitPop can create portrait pages with transparent backgrounds in PDF format, allowing your Canva background designs, colors, and artwork to show through the open spaces. This gives you complete flexibility to coordinate portrait pages with the overall theme of your yearbook.

Can I edit portrait pages after importing them into Canva?

Yes. Each portrait can be imported into Canva as an individual image that you can move or resize, and student names remain editable text. This allows you to make adjustments after importing them into your Canva yearbook design.

What happens if a student had their picture taken twice (retakes)?

PortraitPop can identify students who had their portraits retaken and automatically use the newer photo. You can also view both photos side by side and choose which portrait to use for that student.

What if a student’s name is spelled incorrectly?

Student names are imported from the information provided by your photographer. PortraitPop flags common formatting issues, such as unexpected hyphens or names entered in all-caps, and allows you to review and correct student names before generating your finished pages.

What happens if a student is missing a portrait?

PortraitPop identifies students who are missing photos before you generate your portrait pages. You can contact your photographer to obtain the missing image or leave the student out and add them later in Canva. The tool also flags portraits without names attached.

Will my PortraitPop pages print clearly?

PortraitPop checks the resolution of each portrait based on the size at which it will appear on the page. Before generating your pages, it alerts you when a photo may be too small to print clearly. If you receive a warning, you can request a larger image from your photographer or adjust your layout to use fewer portraits per page.

Who do I contact if I need help with PortraitPop?

Our YearbookLife team is available to help with PortraitPop questions and training. Call 888-680-0143 and select Customer Care, or email production@yearbooklife.com. You can also request a free training session with one of our trainers.

Submission & Production

How to submit files, manage binding, proofs, deadlines, and delivery schedules.

How do I submit my final cover and pages?

For Canva / PDF users: Export your cover as a spread in one file in “PDF Print” format, set the color profile to RGB, and name the file School Name_Cover. Then export all your pages in one file in “PDF Print” format, RGB color profile, named School Name_Pages.

Within one month of your submission date, you will receive an email with submission instructions and a link to a private, shared Google Drive folder where your cover and page files will be uploaded.

For Pictavo & YBLive users: Review and proof your pages directly in the software, run your final pre-flight warnings check, and click the built-in Submit button to send your files directly to YearbookLife.

NOTE: If files are not set up properly for production, we will notify you to make corrections and resubmit, which may affect your delivery date.

Where can I find the important deadlines for my yearbook?

Your Publishing Order contains the important deadlines for your yearbook project.

YearbookLife generally has one deadline for submitting your completed pages, making it much easier to manage your production schedule compared to companies with multiple rolling deadlines. Some customers may have a separate cover deadline.

Review your Publishing Order carefully and contact our team if you have any questions about your submission dates.

Can I get an extension on my yearbook deadline? Are there late fees?

Yes. If you need additional time to complete your yearbook, contact our office at 888-680-0143 or email production@yearbooklife.com with your new anticipated submission date.

We will update the production calendar and provide you with an updated estimated delivery date based on your revised schedule.

There are no late fees or financial penalties for requesting additional time.

However, delaying your submission will also delay your delivery date, so be sure to monitor how it will affect your school’s distribution schedule.

What types of yearbook binding do you offer?

YearbookLife offers two types of softcover binding: saddle stitched (stapled spine, ideal for smaller books) and perfect bound (glued square spine).

We also offer two types of hardcover binding: regular casebound hardcover and premium Smyth sewn hardcover (sewn signatures that lie flat and provide archival durability).

The best binding option for your school depends on your yearbook specifications, page count, budget, and preferences.

How long does printing take?

Production time is determined by a number of factors including binding type and enhancements. Submission to delivery could be anywhere from 2-6 weeks with most books delivering within 20 business days.

When will my yearbooks arrive?

YearbookLife ships books by UPS Ground Service or bulk freight to the shipping address you provide.

If your yearbook was submitted by the submission date listed in your agreement and there have been no production delays, the estimated delivery date in your agreement applies.

Direct-to-home shipping is also available at an additional charge.

What type of warranty do you offer on your yearbooks?

YearbookLife will replace books that are damaged during shipping or delivered with material defects. If you experience a problem with your order, please contact our team immediately so we can make it right.

Can we order additional books later?

Yes! We are able to complete a new re-order for you after your original order has been shipped. Contact production for re-order minimums and pricing.
